Supplemental CodeSignal Notice for Job Candidates

Effective Date: September 28, 2026

1. Scope of This Notice

This supplemental notice applies to West Monroe Partners, LLC and its affiliates’ (collectively, “West Monroe”) use of automated tools in its hiring process for candidates who are asked to complete, or are otherwise evaluated through, a CodeSignal technical assessment. These tools may include automated decision-making technology, or ADMT, automated employment-related decision technology, or AEDT, and artificial intelligence where applicable. Certain state-specific rights may apply depending on, among other things, where you reside.

This notice covers West Monroe’s use of:

  • CodeSignal Certified Assessment, which evaluates technical skills and generates assessment results.
  • CodeSignal Level 1 Integrity Monitoring, which analyzes assessment activity and generates integrity-related signals, including a Suspicion Score and an “Integrity Review Suggested” flag.

When you begin the assessment, you will interact with these CodeSignal technologies.

This notice supplements West Monroe’s broader privacy notice and other applicable recruiting notices. Those notices describe West Monroe’s broader practices for collecting, using, disclosing, retaining, and protecting candidate personal information.

2. Why West Monroe Uses These Tools

West Monroe uses CodeSignal to obtain standardized evidence of skills relevant to designated technical roles, support structured technical interviews and discussions about candidate work, and identify assessment activity that may require additional review to confirm that submitted work reliably reflects the candidate’s own work.

CodeSignal results support West Monroe’s hiring process and do not independently make final hiring decisions.

3. Personal Information Used by the Tools

West Monroe may process the following categories of personal information through the CodeSignal assessment process. These categories may come from you, your application materials, Greenhouse, CodeSignal, your device or browser, your assessment activity and submissions, West Monroe reviewers, and sources used to evaluate solution similarity.

Identifiers Name, email address, applicant ID, IP address, device identifiers, and similar identifiers.
Candidate and recruiting information Position, requisition, recruiting stage, application information, and related hiring-process information.
Assessment information Code submissions, responses, task results, completion information, timing information, and technical-assessment performance.
Assessment activity Copy-and-paste activity, copying assessment descriptions, typing and keystroke patterns, tab switching, time away from the assessment, and timestamps.
AI assistant interactions Prompts and instructions you give the integrated AI coding assistant, code or suggestions it generates, and whether you accept, reject, or modify that output.
Technical and network information IP address, device or browser information, approximate location, session metadata, and technical logs.
Similarity information Comparisons between submitted code and other submissions, common solutions, internal comparison sources, or publicly available sources.
Automated outputs Assessment Score, task-level results, Suspicion Score, integrity signals, and “Integrity Review Suggested” flags.
Review information Reviewer findings, candidate explanations, technical-validation results, appeal materials, and recommendation rationale.

West Monroe does not sell or share personal information collected through this process for cross-context behavioral advertising. West Monroe does not use typing or keystroke information collected through this process to identify or verify your identity, or to create a biometric profile or template.

4. How the Tools Work and How Outputs Are Used

a. CodeSignal Certified Assessment

The Certified Assessment presents technical tasks and automatically evaluates candidate submissions using predefined assessment criteria. Candidates may use an integrated AI coding assistant to complete the tasks.

CodeSignal assesses candidate code submissions, responses, task performance, and related assessment information to generate task-level results and an overall assessment score. The AI assistant helps candidates complete the tasks. It does not score the submission.

West Monroe may use these results to evaluate skills relevant to the position, support discussion during a technical interview, identify areas requiring additional evaluation or clarification, and inform candidate advancement together with interviews, qualifications, work experience, candidate explanations, and other relevant information.

b. CodeSignal Level 1 Integrity Monitoring

Level 1 Integrity Monitoring evaluates assessment activity such as copy-and-paste events, copying assessment descriptions, typing and keystroke patterns, patterns associated with AI-assisted work, solution similarity, tab switching, time away from the assessment, IP-based location, and related technical signals.

CodeSignal assesses these signals together to generate integrity-related information, which may include a Suspicion Score or an “Integrity Review Suggested” flag.

Using the integrated AI coding assistant as permitted by the assessment is not, by itself, an integrity concern.

A score or flag indicates that activity may warrant further review. It does not itself establish cheating, dishonesty, or other misconduct.

West Monroe may use an integrity output to examine the underlying activity, request an explanation, conduct a technical discussion or live code walkthrough, request a code modification, or offer a retake or alternative validation method.

If an automated output is considered in a final adverse outcome, West Monroe will provide the appeal process described in “How to Submit a State-Specific Request or Appeal” where available.

5. West Monroe’s Human Review Process

West Monroe’s process is designed to keep trained humans in control of hiring recommendations and any adverse outcome that may be informed by CodeSignal outputs.

  • No Assessment Score, Suspicion Score, benchmark, or integrity flag automatically advances, ranks, deprioritizes, or rejects a candidate.
  • Reviewers consider candidate work, interviews, qualifications, technical issues, accommodations, and other relevant information.
  • An integrity flag prompts review of the underlying events, timestamps, comparisons, and available context.
  • Candidates receive a reasonable opportunity to explain relevant activity before a materially related adverse outcome is finalized.
  • Authorized human reviewers have authority to make or change a recommendation, including to disregard an automated output, in accordance with West Monroe’s review policies.

West Monroe documents the information considered and the independent, job-related basis for its recommendation.

An integrity review is West Monroe’s internal pre-decision review of assessment activity. An appeal is a candidate-initiated request for additional review after an adverse outcome or when the candidate otherwise exercises an available appeal right.

6. Jurisdiction-Specific Rights

This section describes rights that may apply under applicable law, including laws in California, Colorado, Connecticut, and Illinois.

California

For California purposes, ADMT requirements may apply when West Monroe uses technology to make a significant decision, including a decision concerning an employment opportunity, and the technology replaces or substantially replaces human decision-making.

Where California’s ADMT requirements apply, you may have the following rights:

  • Access: You may request information about West Monroe’s use of ADMT with respect to you, including its purpose, how it processed your personal information, the output generated, and how West Monroe used the output.
  • Appeal and human review: You may appeal an adverse significant decision to a trained human reviewer who understands the output, considers other relevant information and information you provide, and has authority to change the decision.
  • Opt out or appeal, where applicable: California law generally provides a right to opt out of ADMT used to make significant decisions unless an exception applies. To the extent an opt-out right would otherwise apply, West Monroe relies on the human-appeal exception and provides an appeal process in lieu of a separate opt-out right.
  • Non-retaliation: West Monroe will not retaliate against you for exercising your CCPA rights.

Colorado

For Colorado candidates, automated tools may be used in a manner that could constitute covered ADMT if an output materially influences a consequential employment decision. To obtain additional information, contact [email protected].

ADMT materially influences a consequential decision when the output is a non-trivial factor that affects the outcome, including by constraining, ranking, scoring, recommending, classifying, or otherwise meaningfully altering how the decision is made.

If covered ADMT materially influences a consequential employment decision that results in an adverse outcome, you may request:

  • Information about the decision and the role the ADMT played.
  • Available information about the ADMT, including its name, available version information, developer, and the types, categories, and sources of personal data used.
  • Instructions for accessing and correcting factually incorrect or materially inaccurate personal data used in the decision.
  • Meaningful human review and reconsideration of the decision, to the extent commercially reasonable.

Colorado law does not require correction of opinions, predictions, scores, or protected evaluations. Colorado law does not provide a general right to opt out of ADMT used in employment decisions.

West Monroe may withhold trade secrets or information protected from disclosure by state or federal law. West Monroe will notify you if information is withheld for that reason.

Connecticut

Beginning October 1, 2027, automated tools may be used in a manner that could constitute covered AEDT if West Monroe uses an output generated by the tool for the purpose of making, or as a substantial factor in making, an employment-related decision concerning an individual in Connecticut.

A substantial factor is a constraint, ranking, score, recommendation, classification, or similar factor that meaningfully alters the outcome of an employment-related decision.

West Monroe deploys CodeSignal Certified Assessment and CodeSignal Level 1 Integrity Monitoring as part of its hiring process for designated technical roles. The purpose of these technologies is to evaluate technical skills and identify assessment activity that may require additional review. The nature of the employment-related decision is whether to advance or hire the candidate.

Assessment information is evaluated against predefined assessment criteria to generate task-level results and an Assessment Score. Assessment activity, AI assistant interactions, and similarity information are assessed together to generate integrity signals, a Suspicion Score, and any integrity-review flag.

The categories and sources of personal data processed by these technologies are identified in this notice. West Monroe’s contact information appears at the beginning of this notice and below.

Connecticut law does not provide a general opt-out right for AEDT used in employment decisions.

Illinois

For Illinois candidates, CodeSignal Level 1 Integrity Monitoring may analyze assessment activity and generate integrity-related outputs that assist West Monroe in deciding whether additional validation is needed or whether a candidate should continue in the hiring process.

The system is developed and provided by CodeSignal, Inc. It processes identifiers, code submissions, AI assistant interactions, similarity information, paste and copy events, assessment activity, and integrity outputs. West Monroe uses the outputs only with human review.

Other Jurisdictions

If another state or locality provides rights concerning automated tools used in hiring, West Monroe will honor those rights to the extent required by applicable law.

Depending on applicable law and where you live, you may have the right to opt out of profiling in furtherance of decisions that produce legal or similarly significant effects concerning you, including employment opportunities.

7. How to Submit a State-Specific Request or Appeal

Where available under applicable law, you may submit an ADMT access request, post-adverse-outcome information request, correction request, AEDT inquiry, appeal, or accommodation request by contacting West Monroe at:

Please identify the position and assessment involved. You may provide corrected information, documents, explanations, or other context for the reviewer to consider.

To obtain additional information about the CodeSignal technologies, the information processed, the outputs generated, or their role in a hiring decision affecting you, contact [email protected].

If a Colorado candidate receives an adverse outcome resulting from a consequential employment decision in which covered ADMT materially influenced the decision, the candidate may request information about the decision and the role the covered ADMT played. The candidate may also request additional information about the covered ADMT and the inputs used, including, to the extent available to West Monroe, the name of the covered ADMT, available version information, the developer, and the types, categories, and sources of personal data used.

West Monroe will acknowledge California ADMT access and appeal requests within 10 business days and will respond within 45 calendar days. If reasonably necessary, West Monroe may extend the response period by up to an additional 45 calendar days and will explain the extension.

Separate timing may apply to Colorado post-adverse-outcome disclosures and other requests where required by applicable law.

8. Service Providers and Vendor Sharing

West Monroe uses CodeSignal, Inc. to administer assessments and generate assessment and integrity information. Greenhouse may receive, display, or link to relevant CodeSignal results as part of West Monroe’s recruiting process.

West Monroe requires these providers to process candidate personal information only for authorized recruiting, assessment, integrity-review, security, compliance, and related recordkeeping purposes.

This notice does not describe all other service providers, contractors, or third parties that may receive candidate personal information outside the CodeSignal assessment process. Those disclosures are addressed in West Monroe’s broader privacy notice.

9. Retention of Automated Tool Information

West Monroe retains CodeSignal-related information only for as long as reasonably necessary for the purposes described in this notice, including recruiting, assessment, hiring integrity, legal compliance, audit, dispute resolution, and recordkeeping.

Updates to This Supplement

West Monroe may update this supplemental notice if its CodeSignal process, candidate-rights procedures, or legal obligations change. The effective date above identifies the most recent update.
