We are committed to transparency and fairness in our hiring process. As part of our recruitment process, we employ an AI-powered video interview platform (the “Platform”). Please review the information below for further details on the scope, usage, and your rights associated with the Platform.


Please be aware that this document supplements and does not replace our privacy policy, which broadly addresses West Monroe’s processing of job candidate personal information (“Candidate Notice”). You should read this Interview Supplement in conjunction with the Candidate Notice. Where a conflict exists between this Interview Supplement and the Candidate Notice, this document controls with respect to job interview recordings.



Overview


West Monroe uses the Platform to streamline the recruitment process and enhance fairness at the interview stage. The Platform records audio and video of your interview responses and analyzes certain aspects of your responses, such as keywords used, length of time and depth of discussing particular topics, and response clarity. This recording and monitoring is intended to help us understand your qualifications further, expedite the recruitment process, and provide equal opportunities.



Fairness and Bias Mitigation


West Monroe is committed to ensuring that the Platform does not introduce or perpetuate unlawful bias or discrimination in the hiring process. To that end, West Monroe and its service providers conduct periodic assessments of the Platform’s design and outputs to evaluate whether they produce disparate impacts based on race, ethnicity, sex, age, disability, or other characteristics protected by applicable law.


Where required by applicable law or regulation (such as where the Platform or any of its components are determined to constitute an automated employment decision tool), West Monroe will arrange for independent bias audits at the intervals prescribed by law and will make the results of such audits publicly available as required.



Notification of Recording


You will be notified before your interview that the session will be recorded and analyzed through the Platform. A visible indicator will appear on screen during the recorded session to confirm that the recording is active. Your consent to the recording will be obtained before the interview begins, as described in the Consent section below.



What Is Recorded


When you participate in a candidate interview that is designated for recording, the video conferencing platform will capture the full audio and video of the session. This includes your image, voice, spoken statements, and questions that you pose to the interviewer.


The Platform records only the video conferencing session itself. It does not record or capture any activity outside the designated interview window, including pre- or post-interview conversations, screen activity unrelated to the interview, or any content from your personal device beyond the video and audio feed.


We do not ask you to provide, and we do not knowingly collect, any special or sensitive categories of personal information from you in this context (e.g., data concerning race, gender, or ethnicity, political opinions, religious or philosophical beliefs, trade union membership, genetic or health information, sexual orientation). Please do not share this kind of information.


From the recording, the Platform will provide certain information to West Monroe:


  • Topic Coverage and Time Tracking. The Platform identifies the topics and questions discussed and tracks time spent on each, to assess whether the interview covered intended subject areas.
  • Summaries, Notes, and Highlights. After the interview, the Platform generates AI-powered notes, a summary of your responses, and short highlight clips of key moments. These may include key themes discussed, follow-up items, and topics of interest you raised (such as role expectations or work preferences). These materials are accessible to the hiring team in West Monroe's applicant tracking system and may be reviewed during the evaluation and debrief process.
  • Interview Consistency. The Platform may surface questions and topics across interviews for the same role to help ensure that each candidate is evaluated on a consistent and equitable basis.



Purpose of Processing


The Platform will not create a profile of you based on biometric or demographic data, nor will it evaluate emotions or facial expressions. While the Platform scores certain aspects of the interview (e.g., the length of time a particular topic was discussed), the focus is on objective analysis of interview structure and topic coverage rather than subjective evaluation of your personality, character, or demeanor.



Automated Decision-Making Limitations


The Platform does not substantially assist with or replace discretionary decision-making and is not a significant factor in the employment lifecycle, including recruiting, interviewing, hiring, terms of employment including salary, promotions, or termination. All final employment and recruiting decisions are made with independent human review and oversight, and not through the Platform.


To be clear, the Platform does not generate scores, classifications, rankings, or recommendations that are used to evaluate your fitness for a position, nor does the Platform’s output serve as a factor whether sole, primary, or otherwise in any hiring, promotion, or other employment decision. The Platform’s features (such as topic-coverage tracking and response-clarity analysis) are designed to support the structure and administration of the interview and are not used to assess, score, or rank candidates.



Recipients of Data


Your responses will be kept confidential. Nonetheless, we may share your responses and recordings with


  • Personnel involved in the recruitment process;
  • information technology personnel responsible for maintaining and securing the recording platform;
  • third-party service providers, such as providers that host or support the video conferencing and recording infrastructure, acting under contract with us and subject to confidentiality and data protection obligations;
  • third parties to the extent required by applicable law; and
  • other third-party recipients identified in our Candidate Notice.


Access to interview recordings is restricted on a need-to-know basis and is subject to West Monroe’s internal access control policies. Only individuals whose involvement is necessary to evaluate your candidacy or to maintain the Platform will have access to your recordings. Your interview recordings will not be sold or shared for marketing purposes.



Data Retention


Interview recordings will be retained only for as long as reasonably necessary to fulfill the purposes described in this Interview Supplement, including completing the hiring process for the applicable position, complying with legal and regulatory obligations, and defending or asserting legal claims.


If you are not selected for the position, your recordings will be retained for [retention period] following the conclusion of the hiring process, after which they will be securely deleted or anonymized unless a longer retention period is required by applicable law.


Where applicable law prescribes a specific destruction timeline upon request, West Monroe will comply with such requirements, including directing any third parties in possession of the recordings to destroy their copies within the required timeframe.



Data Security


West Monroe implements appropriate technical and organizational safeguards designed to protect interview recordings against unauthorized access, disclosure, alteration, or destruction. These safeguards include encryption of recordings both in transit and at rest, role-based access controls, and regular security assessments of the Platform and its supporting infrastructure. Third-party service providers with access to recording data are contractually required to maintain comparable security standards.



Legal Basis for Processing


Where a legal basis is required by applicable privacy laws, we record interviews based on your consent and otherwise process the recordings based on the legitimate interests of West Monroe in conducting effective recruitment, improving productivity, managing our workforce, and providing equal opportunities.


Where we rely on your consent as the legal basis for recording, you have the right to withdraw that consent at any time by contacting [email protected]. Withdrawal of consent will not affect the lawfulness of any processing carried out prior to your withdrawal, nor will it affect your candidacy for the position, although it may affect our ability to continue using the Platform for your interview.



International Transfer


West Monroe operates across multiple countries. Interview recordings may be accessed by its personnel in the United States, the United Kingdom, Costa Rica, or other jurisdictions where the Company maintains operations. Interview data may be processed by service providers in these or other jurisdictions.


Where required by applicable law, West Monroe will implement appropriate transfer mechanisms (such as standard contractual clauses or equivalent safeguards) to ensure that your personal data receives an adequate level of protection when transferred across borders.

Your Rights


You have certain rights associated with the Platform. Exercising those rights will not affect your candidacy.


Accordingly, under applicable laws, you have the following rights related to the Platform:


  1. Opting Out. You are not required to submit to the Platform to be considered as a candidate, and your refusal will not affect your prospects. If you opt out, alternative interview arrangements will be made.
  2. Requesting Video Deletion. Depending on your jurisdiction, you may request deletion of your interview video recordings, subject to any applicable legal retention requirements. Where applicable law provides a specific destruction timeline (such as the 30-day requirement under the Illinois Artificial Intelligence Video Interview Act), West Monroe will comply with that timeline and will direct any third parties in possession of the recordings to do the same.
  3. Accessing Your Recordings. Depending on your jurisdiction and applicable law, you may request access to interview recordings in which you appear. To the extent such access is required under applicable law, West Monroe will provide it in a reasonable timeframe.
  4. Requesting Information About AI Use. You may request additional information about how the Platform works, including the general logic of any AI-powered features and the types of data the Platform analyzes. West Monroe will provide such information to the extent required by applicable law and consistent with the protection of proprietary or confidential business information.
  5. Withdrawing Consent. Where your consent serves as the legal basis for recording, you may withdraw your consent at any time by contacting [Email]. Withdrawal of consent will not affect the lawfulness of processing carried out prior to withdrawal, nor will it adversely affect your candidacy.
